Welcome to Rural Journeys !

We’re delighted that you’re considering a journey with us. Please take a few minutes to read our Terms & Conditions. These are designed to keep things clear between us and ensure your travel experience is smooth and enjoyable.


1. Booking & Confirmation

To process your booking with Rural Journeys Pvt. Ltd., all clients must submit a booking form selecting their desired packages.

·         After we receive your booking request, we will contact you with a confirmation email.

·         To secure your booking, clients are required to transfer a booking deposit of USD 75 per person via bank transfer. Our bank details will be included in the confirmation email.

·         The remaining balance should be paid at least 30 days before arrival, or upon arrival in Kathmandu during your pre-trip meeting with our official representative.

·         Once we receive your booking deposit, we will send you a final confirmation email with all trip details, confirming that your booking is secured.


2. Payments

·         Payments can be made by bank transfer, or by credit card (we accept VISA, MasterCard, and American Express), as well as other approved methods.

·         Any bank charges or transfer fees are the responsibility of the traveler.

·         All prices are quoted in US Dollars (USD) unless otherwise stated.


3. Last-Minute Bookings

·         We are happy to accept last-minute bookings for trips within Nepal (subject to availability).

·         Please note that last-minute bookings for Bhutan and Tibet cannot be accepted, as these destinations require advance permits and special arrangements.


4. Cancellations & Refunds

We understand that plans can change, and we aim to be as flexible as possible:

·         The booking deposit (USD 75 per person) is non-refundable, but you may reschedule your booking for a later date without losing your deposit.

·         If you have paid the full trip amount, you may cancel with a 10% cancellation charge deducted from the total payment. A written cancellation notice is required.

·         In the rare event that Rural Journeys must cancel a trip (due to safety concerns, natural disasters, strikes, political unrest, or other unforeseen events), you will have two options:

1.      Reschedule your booking for a new date, or

2.      Receive a full refund after deducting any applicable bank charges.


5. Travel Insurance

For your safety and peace of mind, all clients are required to purchase comprehensive travel insurance before joining any of our trips. Your insurance should cover:

·         Medical emergencies and hospital expenses

·         Natural calamities and unforeseen events

·         Emergency evacuation (including helicopter rescue if necessary)

·         Personal accidents or injuries

·         Trip cancellations, delays, or interruptions

·         Loss of baggage or personal belongings

You may be asked to provide proof of insurance at the start of your trip.


6. Health & Safety

·         Some of our journeys include trekking, rural homestays, and adventure activities. Please ensure you are physically prepared and inform us of any medical conditions or special needs.

·         While we take every precaution, Rural Journeys cannot be held responsible for circumstances beyond our control, such as natural disasters, political unrest, accidents, or unexpected events.


7. Passports, Visas & Permits

·         Travelers are responsible for ensuring they have valid passports, visas, and necessary travel permits, although we are happy to guide you through the process.

·         Some trips require special permits (e.g., trekking in restricted regions). We will assist in arranging these permits once we have received your documents.


8. Changes to Itinerary & Guide Authority

·         Flexibility is an essential part of traveling in Nepal and the Himalayas. Weather, road conditions, or other unforeseen factors may require adjustments to your itinerary.

·         We strive to provide the planned services or suitable alternatives of similar quality to ensure your experience remains memorable.

·         Your tour or trek guide representing Rural Journeys Pvt. Ltd. has full authority and responsibility during your trip. Guests are expected to follow their guidance for safety and smooth operation of the journey.


9. Personal Belongings

·         Our representatives always strive to keep your belongings safe throughout your trip.

·         However, Rural Journeys cannot be held responsible for any loss or damage to personal belongings while transported by porters, ponies, or vehicles during your journey.


10. Responsibility & Liability

·         Rural Journeys acts as a coordinator with hotels, airlines, transport providers, and guides. While we carefully select our partners, we cannot be held responsible for circumstances beyond our direct control.

·         Guests are expected to follow the guidance of their trip leader or guide at all times for their safety and the well-being of the group.


11. Social Responsibility

At Rural Journeys Pvt. Ltd., we are committed to giving back to the communities we visit. A portion of the revenue generated from our trips is used to support community development and enhancement programs across Nepal, creating a positive and lasting impact.


12. Acceptance of Terms

By making a booking with Rural Journeys Pvt. Ltd., you acknowledge that you have read, understood, and agreed to all the Terms & Conditions outlined above.
